We are seeking an Office Coordinator to join our Bend, Oregon team. This role is the first point of contact for patients and providers, ensuring a welcoming experience while supporting daily office operations. Organizational skills and managing product inventory are components for success in this role.
Position Overview:
The Office Coordinator plays a key role in greeting patients, answering calls, and supporting administrative processes. In addition to front-desk responsibilities, this position schedules patients, tracks inventory, processes orders, and performs other clerical duties that keep the office running smoothly.
Key Responsibilities:
- Greet patients, visitors, and providers in a professional, friendly manner.
- Answer and direct phone calls, emails, and inquiries.
- Schedule patient appointments and coordinate with providers.
- Enter patient referrals and maintain accurate records in our Electronic Medical Records – EMR system (NikoHealth).
- Performs order processing, inventory tracking, and completes supply requisitions.
- Prepare correspondence, reports, and documentation as needed.
- Support compliance with company policies and healthcare standards.
- Coordinate shipping/receiving activities and office supply organization.
- Arrange for office equipment maintenance or repairs as needed.
Technology:
- EMR Software (NikoHealth). Training will be provided
- Paylocity payroll/time tracking software. Training will be provided
Qualifications:
- Demonstrated experience in a fast-paced office environment with strong attention to detail and the ability to effectively multitask.
- Competency with video conferencing (Google Meets, Microsoft Teams, Zoom)
- Competency with Microsoft Office & Google Workspace (Docs, Sheets, Drive, Outlook). Word document and excel software proficiency is a requirement.
- Previous minimum experience of 24 months in a medical office, receptionist, or front desk role preferred.
- An associate’s degree or higher, or Vocation Schooling preferred
- Demonstrated strong organizational, problem solving and communication skills.
- Proven professional and welcoming demeanor with patients and providers.
- Ability to manage multiple tasks while maintaining attention to detail.
- Comfortable with computers. A minimum of 2 years working with computers in a work setting- data entry, organization, being able to navigate operating system
- Comfortable with Electronic Medical Records System. With the right candidate this can be trained. We would prefer someone that has a (EMR) background of 1+ years and the ability to operate efficiently within an EMR.
- Successful candidate will be expected to always maintain the confidentiality of patient information, in compliance with all appropriate regulations including but not limited to HIPAA
